What did StepAhead build?
We connected an AI document pipeline to the firm’s existing Outlook inbox and QuickBooks account. No new software for the team to learn:
- Incoming invoices are read by an AI model that extracts vendor, amounts, dates, and line items, including from photos and scans
- Extracted data is entered into QuickBooks automatically, flagged for one-click human approval on anything above a confidence threshold or dollar limit
- Missing-information emails to clients are drafted automatically and sent after a staff member approves them
- A live status view replaced the shared spreadsheet
What guardrails kept the firm in control?
Nothing customer-facing or financial happens without human sign-off. Every automated action is logged, every extraction shows its source document, and amounts over a configurable limit always route to a partner. The firm’s data stays in its own Microsoft and QuickBooks accounts. The AI services are contractually barred from training on it.
